Technology provider notice. PolicifyAI is a self-service AI template engine, not a law firm. The documents we generate are templates and starting points — they are not a substitute for advice from a qualified solicitor or attorney. By using the Service you acknowledge that you are solely responsible for reviewing, adapting, and validating any generated document before publishing it.

1.Agreement to these terms

By accessing or using PolicifyAI (the "Service"), operated by L. Bone trading as PolicifyAI(a UK sole trader, "we", "us", "our"), you agree to be bound by these Terms of Service (the "Terms"). If you do not agree to all of these Terms, you must not access or use the Service.

These Terms, together with our Privacy Policy, EULA, Data Processing Agreement, and Acceptable Use Policy, constitute the entire agreement between you and PolicifyAI in relation to your use of the Service.

If you are using the Service on behalf of a business or organisation, you represent and warrant that you have authority to bind that organisation to these Terms, and that organisation agrees to be bound by them.

2.The Service and its limitations

PolicifyAI is an AI-powered legal policy generation platform. We provide tools to generate legal document templates including privacy policies, terms of service, cookie policies, EULAs, DPAs, anti-spam policies, and other standard business policies.

2.1 Not legal advice

PolicifyAI is not a law firm and does not provide legal advice. Generated documents are AI-produced templates based on standard legal frameworks. They are starting points only and may not reflect the latest legal developments in every jurisdiction, may not be complete, and may not be appropriate for your specific circumstances. You are solely responsible for:

  • Reviewing all generated content before publishing or relying on it.
  • Ensuring any policy you publish is accurate and complete for your specific business operations.
  • Consulting a qualified solicitor, attorney, or other legal professional if you require legal advice.
  • Keeping your published policies up to date as your business practices and applicable laws change.
2.2 AI limitations

AI-generated content may contain errors, omissions, or outdated information. PolicifyAI does not warrant that generated policies will be legally sufficient for your particular circumstances, enforceable in any specific jurisdiction, or compliant with the most recent regulatory guidance. We make no representation that using a PolicifyAI-generated policy will prevent regulatory action, legal claims, or disputes.

2.3 Technology stack disclosure

The Service is built on and uses the following key infrastructure and services: Vercel (hosting and edge compute, US), Supabase / AWS eu-west-2 (database, authentication, and storage, EU), Anthropic Claude API (AI generation, US), OpenRouter (AI model routing, US), Stripe (payments, US), and Resend (email delivery, US). We disclose this so you can make an informed decision about whether the Service meets your compliance requirements.

3.Accounts and eligibility

You must create an account to access most features of the Service. By creating an account, you confirm that:

  • You are at least 18 years old. The Service is not intended for anyone under 18.
  • The information you provide when registering is accurate, current, and complete.
  • You will keep your account information up to date.
  • You are legally capable of entering into a binding contract in your jurisdiction.
  • You are not prohibited from using the Service by applicable law.
3.1 Account security

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must not share your login credentials with anyone. If you believe your account has been compromised, you must notify us immediately at [email protected].

We support email/password authentication and Google OAuth sign-in. Multi-factor authentication (MFA) is strongly recommended and can be enabled in your account settings.

3.2 Account responsibilities

You are responsible for ensuring that any use of the Service through your account complies with these Terms, regardless of whether the activity is carried out by you personally or by someone else accessing your account.

4.Subscriptions, billing, and plan limits

Certain features of the Service require a paid subscription. All prices are listed in GBP and include applicable VAT where required by law.

4.1 Available plans
  • Free — 3 policy generations, lifetime. This allowance does not reset. No time limit on account use.
  • One-Time Pro — 100 policy generations, lifetime. A single one-time payment. Allowance does not reset.
  • Monthly Unlimited — 50 policy generations per calendar month. Billed monthly. Unused allowance does not carry forward to the next month.
  • Yearly Unlimited — unlimited policy generations. Billed annually. No monthly cap. Best value for regular users.
  • Agency Starter, Agency Growth, Agency Pro — unlimited policy generations, additional features for agencies managing multiple client sites. Billed monthly or annually.
  • Enterprise — unlimited policies, dedicated support, custom DPA, and bespoke commercial terms. Contact [email protected].
4.2 Billing cycle

Subscription fees are charged in advance at the start of each billing period (monthly or annual). Your billing cycle begins on the date you subscribe. Payment is processed by Stripe — see our Privacy Policy for how billing data is handled.

4.3 Automatic renewal

Subscriptions automatically renew at the end of each billing period at the then-current price unless you cancel before the renewal date. You can cancel at any time from your Dashboard → Settings → Billing page or by emailing [email protected]. Cancellation takes effect at the end of the current paid period; you will retain access until then.

4.4 Price changes

We reserve the right to change our subscription prices. We will notify you of any price increase at least 30 days before it takes effect, via email to your account address and/or a notice in the Service. If you do not accept the new price, you may cancel your subscription before the new price takes effect without penalty.

4.5 Failed payments

If a payment fails, we will attempt to collect the outstanding amount for up to 14 days. During this period, your access may be restricted to the features available on the Free plan. If the payment is not collected within 14 days, your subscription will be cancelled.

4.6 VAT and taxes

Prices shown may be subject to VAT or other applicable taxes depending on your location and applicable laws. VAT is applied at the rate applicable in your jurisdiction at the time of billing and is shown on your Stripe invoice. You are responsible for any local taxes in your jurisdiction that we are not required to collect.

5.Refunds and cancellations

Please see our Refund Policy for full details. The following applies as a summary:

  • Subscription plans (Monthly/Yearly Unlimited, Agency plans): Eligible for a full refund within 7 days of the initial purchase if you have not generated any policies on the paid plan. After 7 days or after generating any policy, subscriptions are non-refundable for the current billing period.
  • One-Time Pro: Eligible for a full refund within 7 days of purchase if you have not generated any policies. Non-refundable thereafter.
  • Enterprise plans: Refund terms are governed by your individual enterprise agreement.

Nothing in this refund policy affects your statutory rights under the Consumer Rights Act 2015 or the Consumer Contracts Regulations 2013. EU consumers may additionally have a statutory 14-day cooling-off period under the Consumer Rights Directive.

To request a refund, email [email protected] with your account email and subscription details. We will process eligible refunds within 5 business days.

6.Intellectual property

6.1 Your content

You retain ownership of the policies you generate using the Service. By using the Service, you grant PolicifyAI a limited, non-exclusive, royalty-free licence to store, process, and serve your content solely for the purposes of providing the Service to you (including operating the embed script, displaying your policies in the dashboard, and transmitting generation inputs to our AI providers). This licence terminates when you delete your account.

6.2 Our content and platform

The PolicifyAI platform — including its design, user interface, underlying software, AI prompting systems, generation logic, branding, trademarks, and all related intellectual property — is owned exclusively by L. Bone trading as PolicifyAI and is protected by copyright, trademark, database, and other intellectual property laws.

You may not:

  • Copy, reproduce, or distribute any part of the platform without our written permission.
  • Reverse engineer, decompile, or disassemble any part of the Service.
  • Use our trademarks, logos, or branding without written permission.
  • Use any content from the platform to train competing AI models.
6.3 Feedback

If you provide feedback, suggestions, or ideas about the Service, you grant us a perpetual, irrevocable, royalty-free licence to use that feedback for any purpose, including improving the Service, without any obligation to you.

7.Acceptable use

You agree to use the Service only for lawful purposes and in accordance with our full Acceptable Use Policy. The following is a non-exhaustive summary of prohibited conduct:

7.1 You must not use the Service to:
  • Generate policies that are fraudulent, deceptive, or intended to mislead end users or regulators.
  • Create policies for businesses, products, or services you do not represent or are not authorised to act for.
  • Generate content that is defamatory, discriminatory, or in violation of any person's rights.
  • Facilitate illegal activities, including fraud, phishing, money laundering, or spam operations.
  • Scrape, harvest, or extract content from the platform using automated means not authorised by us.
  • Attempt to gain unauthorised access to any part of the Service, other users' accounts, or our infrastructure.
  • Circumvent rate limits, generation quotas, or any technical access controls.
  • Introduce viruses, malware, or other malicious code into the Service.
  • Resell access to the Service or use it to build a competing policy-generation product.
7.2 Compliance with law

You are responsible for ensuring your use of the Service complies with all applicable laws and regulations in your jurisdiction, including data protection law, consumer law, and sector-specific regulations. PolicifyAI makes no warranty that generated documents comply with the laws of any specific jurisdiction.

7.3 Consequences of prohibited use

Violations of our Acceptable Use Policy may result in immediate account suspension without notice or refund, and may be reported to relevant law enforcement or regulatory authorities where required.

8.Embed script and API

Your use of the PolicifyAI embed script and REST API is governed by our API Terms of Service, which are incorporated into and form part of these Terms. In the event of any conflict between these Terms and the API Terms, the API Terms govern in relation to API and embed script usage.

Site keys (format: pk_*) issued for the embed script are associated with your account. You are responsible for keeping your site keys confidential and for all usage under your keys.

9.Third-party services

The Service relies on third-party services including Vercel (hosting), Supabase (database and auth), Anthropic and OpenRouter (AI generation), Stripe (payments), Resend (email), Google Analytics (analytics), and PostHog (product analytics). These services have their own terms and privacy policies that apply to their use.

We are not responsible for the availability, accuracy, or content of any third-party services. Any links to third-party websites or services are provided for convenience only and do not constitute endorsement. Your use of third-party services is at your own risk and is governed by those services' own terms.

10.Disclaimers

To the fullest extent permitted by applicable law, the Service is provided "as is" and "as available" without warranties of any kind, whether express or implied.

We specifically disclaim any warranty that:

  • Generated policies will be legally sufficient, enforceable, or accurate for your specific circumstances.
  • Generated policies will comply with the laws of any particular jurisdiction.
  • The Service will be uninterrupted, error-free, or available at any particular time.
  • AI-generated content will be free of errors, omissions, or inaccuracies.
  • The Service will meet your specific business or compliance requirements.
  • Defects in the Service will be corrected.

Nothing in this section affects your statutory rights as a consumer under the Consumer Rights Act 2015 or equivalent legislation in your jurisdiction.

11.Limitation of liability

To the maximum extent permitted by applicable law:

  • Cap on liability:PolicifyAI's total aggregate liability to you for any claim arising out of or in connection with these Terms or the Service (whether in contract, tort, statute, or otherwise) shall not exceed the total fees paid by you to PolicifyAI in the 12 months immediately preceding the event giving rise to the claim. If you are on the Free plan, our liability is capped at £50.
  • Excluded losses: We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to: loss of profits, loss of revenue, loss of data, loss of goodwill, business interruption, regulatory fines or penalties, legal costs, or any damages arising from your reliance on AI-generated policy documents, even if we have been advised of the possibility of such damages.
  • Third-party AI limitations: We are not liable for errors, inaccuracies, or omissions in content generated by our AI providers (Anthropic, OpenRouter). The output of AI systems is probabilistic and may vary.

Exceptions: Nothing in these Terms limits or excludes liability for: death or personal injury caused by negligence; fraud or fraudulent misrepresentation; any other liability that cannot be excluded or limited under applicable law, including your statutory rights as a consumer.

12.Indemnification

You agree to indemnify, defend, and hold harmless PolicifyAI and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your use of the Service in violation of these Terms or applicable law.
  • Any policy you generate and publish using the Service, including any claim that such policy is inaccurate, incomplete, or non-compliant.
  • Your violation of any third-party rights, including intellectual property rights or data protection rights.
  • Your breach of any representation or warranty made in these Terms.

13.Suspension and termination

13.1 Termination by you

You may terminate your account and these Terms at any time by deleting your account from Dashboard → Settings. Upon deletion, your personal data will be handled in accordance with our Privacy Policy. No refunds are issued for the remaining portion of a paid billing period unless you are within the refund window set out in section 5.

13.2 Termination by PolicifyAI

We reserve the right to suspend or terminate your account and access to the Service, at our sole discretion, with or without notice, for any of the following reasons:

  • Violation of these Terms, our Acceptable Use Policy, or applicable law.
  • Non-payment of subscription fees.
  • Fraudulent, abusive, or harmful use of the Service.
  • Conduct that poses a security risk to the Service or other users.

Where feasible, we will provide notice and an opportunity to resolve the issue before suspension. For security incidents, fraud, or violations that require immediate action, suspension may occur without prior notice.

13.3 Effect of termination

Upon termination, your right to use the Service ceases immediately. Sections 6 (Intellectual Property), 10 (Disclaimers), 11 (Limitation of Liability), 12 (Indemnification), and 14 (Governing Law) survive termination.

14.Governing law and disputes

These Terms are governed by and construed in accordance with the laws of England and Wales. You and PolicifyAI each irrevocably agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with these Terms or their subject matter.

If you are a consumer resident in the EU or Northern Ireland, you may also be entitled to bring proceedings in the courts of your country of residence. EU consumers may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

15.Changes to these terms

We may update these Terms from time to time to reflect changes in our business, applicable law, or regulatory guidance. We will notify you of any material changes by:

  • Sending an email to the address on your account at least 30 days before the changes take effect.
  • Displaying a prominent notice within the Service at least 30 days before the changes take effect.
  • Updating the "Last updated" date at the top of this page.

Continued use of the Service after the effective date of a change constitutes your acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service and may cancel your subscription before the effective date. Where a change increases your obligations or reduces your rights as a consumer, we will provide no less than 30 days' notice.
