Export & Formats

Every policy can be exported in five formats. Open any policy from Dashboard → Policies and click the Export button in the top bar.

Available formats

📄

PDF

Print-quality PDF with your branding. Suitable for client delivery, legal filing, and archiving. Agency plans include your logo and brand colours in the header.

📝

Word (.docx)

Fully editable Microsoft Word document. Use when clients need to review with track changes, or when you need to incorporate the policy into a larger document pack.

🌐

HTML

Clean, semantic HTML. Paste directly into any CMS (WordPress, Webflow, Squarespace, etc.), add to a legal page, or include in your app's terms screen.

✍️

Markdown

Standard Markdown format, compatible with Notion, GitBook, Confluence, GitHub wikis, Docusaurus, and any other Markdown-based documentation platform.

Plain text

Unformatted plain text. Useful for embedding in emails, pasting into forms, or importing into tools that don't support rich formatting.

White-label branding on exports

Agency plan users can apply white-label branding to all exported documents. Configure your brand name, logo URL, primary colour, and tagline in White Label & Branding. Once saved:

  • PDF exports include your logo and brand colour in the document header
  • Word exports use your brand name in the title and header
  • HTML exports include inline styles matching your brand colour
  • PolicifyAI attribution is removed from all exports
💡 White-label branding is available on all Agency plans (Starter, Pro, Scale). Personal plans export without custom branding.

Sharing policies with clients

Direct link

Every policy has a shareable public URL at https://policifyai.com/p/POLICY_ID. The link shows the live policy — if you regenerate or edit, the linked version updates automatically.

Download and attach

Export as PDF and attach to an email or upload to a client portal. The client receives the document and can view it without a PolicifyAI account.

Embed on their website

The most convenient option for clients with websites — use the embed script to place the self-updating policy directly on their site. See Embed on your site.

File naming

Downloaded files are named using the policy title and format: privacy-policy.pdf, terms-of-service.docx, etc. On Agency plans with client records, the client name is prepended: acme-corp-privacy-policy.pdf.
