Team Members & Seats

Agency plans include a set number of team seats. Invite colleagues, freelancers, or clients to your workspace with role-based access control.

Add extra seats at any time from Agency → Billing. Extra seats are billed monthly alongside your plan. You can remove unused extra seats the same way.

Inviting a member

Go to Agency → Team & Seats and click Invite member. Enter their email address and select a role. They'll receive an invitation email with a link to join your workspace. Once they accept, their status changes from Pending to Active.

💡 Invited members must create a PolicifyAI account (or sign in) before they can accept. The invitation link expires after 7 days — resend if needed.

Roles & permissions

Each member is assigned one of three roles. Roles apply across the entire agency workspace — there is no per-client role assignment.

Admin

Editor

Granular permissions

For Editor role members, you can grant additional permissions individually: canManageWebhooks (allows creating/editing webhooks) and others. Expand a member row in the Team page to see and toggle granular permissions.

Owner vs members

The account owner (the person who subscribed) always has full access including billing. Members can never access billing regardless of their role. The owner cannot be removed from the workspace.

Revoking access

Open the Team page, find the member, and click Revoke. This immediately: removes the member from your workspace, sets their account plan to Free, and clears all agency permissions. They lose access to agency features instantly.

⚠️ Revoking a member is immediate and cannot be undone without re-inviting. Their personal policies (generated on their own account before joining) are unaffected, but any policies they generated in your workspace remain in the workspace.

Display names

Each member can be given a display name that appears throughout the workspace UI (e.g. in the policy “Generated by” column). Set this from the member row in Team & Seats. The display name is visible to all team members.
