Agency Billing

Manage your agency subscription, add extra seats, download invoices, and update payment details — all from the Agency Billing page.

Extra seats

Need more team members than your plan includes? Add extra seats at £9/seat/month, billed monthly alongside your plan. Extra seats are prorated when added mid-cycle.

To add seats: go to Agency Hub → Agency Billing → Extra seats, select the number you need, and confirm. Your card is charged the prorated amount immediately.

To remove seats, reduce the count on the same page. Removal takes effect at the next billing cycle — you keep access until then.

💡 The seat count shown in your sidebar badge reflects base seats + extra seats. Revoking a member does not automatically remove an extra seat — you must reduce the count separately if no longer needed.

Invoices & receipts

All invoices are generated by Stripe and available under Agency Hub → Agency Billing → Invoices. Each invoice shows a line-item breakdown of your plan and any extra seats. Invoices can be downloaded as PDF.

For VAT invoices: enter your VAT/tax number in the billing portal (click Manage billing) before your next invoice is generated. Existing invoices cannot be amended.

Payment methods

PolicifyAI processes payments via Stripe. Accepted cards: Visa, Mastercard, American Express. BACS/wire transfer is available for annual Scale contracts — contact support.

To update your card, go to Agency Billing → Manage billing. This opens the Stripe billing portal where you can add, remove, or set a default card.

Upgrading & downgrading

Upgrading

Upgrades take effect immediately. You are charged a prorated amount for the remainder of the billing cycle, then the full new plan rate from the next cycle.

Downgrading

Downgrading takes effect at the end of the current billing cycle. Until then you keep access to your current plan's features. If your current seat or client count exceeds the lower plan's limits, you will need to remove team members or archive clients before the downgrade date.

Cancelling

Cancel any time from Agency Billing → Cancel subscription. Cancellation takes effect at the end of the billing period. Your agency workspace and all policies remain accessible until then. After cancellation, your account reverts to a personal Free plan — existing policies are preserved but generation and agency features are disabled.

To reactivate, simply subscribe again. Your client and policy data are retained for 90 days after cancellation.

VAT & tax

UK customers

VAT is charged at 20% unless a valid UK VAT number is provided.

EU customers

VAT is charged at local rate unless a valid EU VAT number is provided (reverse charge).

US customers

No sales tax is currently charged.

Other

Local taxes may apply depending on your jurisdiction.

Failed payments

If a payment fails, Stripe retries automatically over 7 days (day 1, 3, 5, 7). You receive an email notification with a link to update your card. If payment is not resolved within 7 days, your agency workspace is suspended — team members lose access but data is preserved. Resolve the payment to restore access immediately.
